YOUR BUSINESS – Maintaining Organization & Maintaining Management
Hey Guys,
Let’s talk about your busines s for a moment: Are you Maintaining Organization & Maintaining Management? This is what I was just taught by Tracy Lawton on her last teleconference; owner of Office Organization Made Easy!
I know we all get so excited to start promoting, especially when we run across that “perfect” hyped-up business opportunity, however it is crucial to maintain business organization & management.
Here are some Key tips shegave on the call that helped me out:
- You need a file management system
- You need a financial management system
- You need a c ontact management system
First and Foremost, for the file management system you can utilize file cabinets, drawers, shelves and file bins (paper files) Keep things out of the way that you don’t need, however maintain this system once you create it so the things you DO NEED are easily accessible at all times! Now, that’s not all, you also have your (computer files) and (emails) that are part of this system. As you’ll learn further on while reading this, there is a well known tool that is perfect for creating AND maintaining organization & management among both Contacts & Emails. (NOTE: you will want to keep all systems along the same lines. I.E. If you go by categories & subcategories for your paper filing system then you need to do the same for your computer filing system, etc.)
Next is financial management system: We recommend getting a book keeping binder. Create four tabs:
- Accounts Payable
- Accounts Receivable
- Accounts Paid
- Accounts Received
This will help you easily keep track of what is going in and coming out, what needs to still be paid and received, etc.
You can definitely utilize the power of spreadsheets as well. This comes in handy with this next one too: EMAILS & CONTACTS (truly what interested me the most during the call with Tracy).
OUTLOOK OR OUTLOOK EXPRESS: This is the perfect program for maintaining Emails & Contacts.
Keep it ALL in one place. You’ll find it easier in the long run!
Keep up with “recording data” as you go and set aside at least 20 min. at the end of the day to overview the people you spoke with, note anything you need to, and answer the question, “Who do I need to followup with or contact tomorrow?”
Another fun tip is to go through your contacts on a monthly basis “at least” and “hit up” everybody that you haven’t been in contact for awhile. TOUCH BASE with them again so you’ll be keeping things fresh.
You need a schedule to stick to “week by week” (file things accordingly and set aside a minimum of 20 min. at the end of each week to go through, organize and maintain your filing systems – Make it a priority).
You cannot market your business EFFICIENTLY without first managing!
